The Pregnancy Emporium is compliant with GDPR for all client data held on record. The following shows and explains how and why information is collected, how it is used and sorted and how long we have to keep this for. This is correct as of 24/5/18.

Law

I am required by law to collect data for yourself/baby/family to carry out the requested service/treatment or class, to ensure the full safety of yourself and your family. Failure to provide this information could result in me not being able to carry out a treatment/class or service as needed.

Data Protection

Your data is protected by security measures, this ensures that your data is not lost/ accessed by anyone outside of myself (Unless agreed for the various treatments or programmes). Some treatments and services may need a referral to a doctor, midwife or screening coach. You will be fully consulted before this takes place and you will know who your information is going to, why this is needed and any outcome information to support you being able to move forward in classes/treatments.

Massage and Treatments in Clinic

How was this data collected?: Collected directly from client

Personal Data. What data are you collecting?: To ensure each treatment is suitable and safe for the client on visiting the clinic

Why are you collecting this data?: To ensure each treatment is suitable and safe for the client on visiting the clinic.

Handling Explain how you will store information, how it will be used and who will see it: Information will be stored in a lockable cabinet or online through email. This is password protected on email and a locked pin on the computer system. The information is only used by myself to ensure I can safely carry out the treatment. In the event of a referral a doctor or midwife’s guidance may be needed. Full confirmation from the client would be needed to write to the healthcare professional to gain guidance or approval to continue with any treatment.

When is this data disposed?: Data for massage and treatments will be stored for 7 years.

Baby Classes

How was this data collected?: Information collected from parents on starting a course of baby massage or baby yoga

Personal Data. What data are you collecting?: Parent and baby’s name, address, email and phone number, medical status and any health concerns, allergies and food intolerances

Why are you collecting this data?: To ensure all classes are delivered safely in accordance with parents and baby’s needs. To be able to provide a safe and effective service while in a class and while on a course or block booking.

Handling Explain how you will store information, how it will be used and who will see it: All information is scanned in to the computer which is password and pin protected. Paper Copies are kept in a lockable cabinet for additional security. I am the only person who can see and access these documents.

When is this data disposed?: Parent information is to be kept for 7 years however baby information is to be kept for 10 years from the day they turn 18 years old.

Holistic Core Restore® Classes

How was this data collected?: Collected directly from client before commencing programme

Personal Data. What data are you collecting?: Name ,Address, Email Doctors name and address, Health information and medical status, concerns, aches and ailments. This is an in depth document which can cover pregnancy and birth information, any information on operations.

Why are you collecting this data?: To ensure that each client is signed on to the right HCR programme, full client safety is maintained and will be gaining the right support and guidance throughout their journey with The Pregnancy Emporium.

Handling Explain how you will store information, how it will be used and who will see it: All information is stored on email, on a computer which is password/pin protected. It will be used to ensure each client is well enough to participate in the programme, fully supported throughout and the correct referral process can be followed in the event a referral is needed. Myself, Jenny Burrell and Michelle Lyons from Burrell Education will be the only ones who have access to this. Myself for having the first point of contact with clients and being responsible for guidance throughout. Michelle and Jenny for guidance and support for those with further medical needs/support.

When is this data disposed?: All information will be kept on file for 7 years.
